What we need from you
Before the switch, please ensure you've downloaded any reports or certificates from the eOPAS system. Your access to eOPAS will end on Friday July 18th. After this time retrieving past data may incur a charge. Click the link for full details on how to do download your reports or certificates.

What is changing and why?We are transitioning to a new Occupational Health System from eOPAS to Orchid Live to improve service delivery, enhance user experience, and provide more efficient, secure access to manage your employee health needs.

When will the new system go live?The new system will go live on Tuesday, July 1st 2025. You will receive email updates and login instructions closer to our launch date.

How do I access the new system?You will receive a welcome email with a secure link and instructions for setting up your account.

Will I need to create a new login?Yes, you will need to register and set up a new password the first time you log in. After that, you will be able to use your credentials for all future access.

What if I don't receive the welcome email?You should receive this on or just before July 1st. Check your spam/junk folder first. If it’s not there, contact dashboardsupport@insightworkplacehealth.co.uk from July 2nd onwards.

Will historical records be transferred to the new system?Yes, all employee data and appointment information will be securely migrated to the new system.

Will there be any downtime or data loss?There will be no interruption in our services, but please bear with our team at this busier time as we ensure all our customers transition successfully. In advance of the switch over, please ensure that you have downloaded all your reports and/or certificates from the eOPAS portal. Following transition, you will only have access to the eOPAS portal until Friday July 18th. If reports or certificates are required after this time, charges may apply due to the difficulty in regeneration of this information. PLEASE NOTE: Certificates and medical reports generated by Insight’s systems are client’s property and our client’s hold the responsibility to download and own this data. Insight is not responsible for the data storage of these certificates. For more information on how to download your certificates and reports: click here.

How is my data protected?Data security is our top priority. Orchid Live is: • ISO27001 and Cyber Essentials certified • Equipped with 256-bit encryption for data at rest and TLS 1.2 for data in transit • Hosted in UK-based AWS data centres, fully compliant with GDPR and local data regulations • Enhance by optional multi-factor authentication and segregated client infrastructure to safeguard sensitive medical information

How do I refer an employee to Occupational Health?You will complete an online referral form within the new system. This includes selecting the reason for the referral, providing relevant context and uploading supporting documents. View how to refer an employee here.

Will I be able to track the status of referrals?Yes, the system allows you to view referral status updates, appointment schedules and any actions items related to the case.

Will there be training available?Yes, we will provide user guides, video tutorials, and live portal training sessions before and after the system goes live. Book one of our sessions here: Book a session

How can I provide feedback on the news system?We welcome your feedback; you will receive a feedback form shortly after go-live. We will continue to make updates and enhancements to Orchid Live in the coming months and value your input.
